Housing Management
From the initial contract stage to room block management and the post-event audit, Par Avion provides state-of-the-art housing services. Par Avion realizes that the needs of most organizations are unique; therefore, we customize housing packages to suite the needs of our clients. Our PassKey enabled system is the leader in housing management technology, and allows your convention participants the ability to book room reservations on-line, over the phone, or by fax. And with RegLink, now our housing program links directly to your own registration system or any other registration system you choose for a completely integrated housing and registration system. This also allows for integrated, cutting edge reports.

Registration Management
Par Avion provides pre-registration, on-site registration, name badges, tickets, reporting and mailings. We can also receive and process registrations and fees. Our registration system has the capability to fully integrate with our housing system for a one-stop service happy attendees, and better reports.

Online Registration
Our registration system allows multiple attendees to be billed together and to add purchases to their agenda at a later date.

TECHNOLOGY
Par Avion’s Housing System is powered by Passkey. Passkey is the only group reservations management and distribution system that decreases cumbersome manual processes and increases efficiency and decreases liability by automating the group housing process. This data ‘bridge’ between Passkey and the attendee management system streamlines the way systems exchange information, creating a highly customizable attendee management solution for every event. Benefits include customized reports, decreased liability and increased revenue for your organizations bottom line.

Par Avion’s phone system is designed for both “high tech” and “high
touch.” Employing a T-1 line for maximum reliability, it is designed to permit call center agents to make outgoing calls, and to have a live person answer incoming calls. This enables callers to speak to the same agent if desired. During times of high call volume, calls may roll over to the automated attendant, providing a list of options for the caller.



Par Avion agents are equipped with a variety of tools at their workstations (workstations are on a T-1 line for faster response). All agents have instant access to, and are proficient in, the industry’s two dominant CRS’s: Apollo’s state-of-the-art Focalpoint system, and Sabre’s Evoya Webtop portal. Agents utilize Apollo’s “Best Buy Quote” software, and the Sabre “Air Shopping” suite of fare management tools. With a single entry, more than 1,000 different travel options can be evaluated instantly. Agents receive up to nine lower fare options, including alternative airlines, times of day, and inventory that can be booked from that response. Both products automatically advise agents to change the class of service when necessary to offer a lower fare on the same itinerary.

Globalware is Par Avion’s back-office accounting system, which interfaces directly with its Focalpoint CRS. Globalware captures data provided when tickets and invoices are generated, and can produce a wide variety of both canned and customized corporate reports.

Our separate group department takes special care in handling incentive travel, business meetings, conventions and leisure group travel for employees of any organization or for trade associations. We can offer savings for groups of 10 or more as well as assist in meeting planning operations.

Par Avion intends to provide the most flexible service, while retaining the high quality service performance that is our trademark. Travel agents follow formalized operational procedures that ensure accuracy and adherence to policy as set forth by the client. Procedures include, but are not limited to: creation of account profile containing policy for travelers; creation of individual passenger profiles as necessary; use of telephone, faxes, and/or e-mail by agents to make and confirm reservations; and utilization of software to ensure lowest fare is found. Additionally, our account liaison will work with Par Avion’s accounting department to provide customized reports in a variety of formats, which can be electronically transmitted to the customer.

STAFF
Par Avion has assembled a virtual travel agent all-star team of former agency owners, managers, and corporate lead agents, working together to provide you with unparalleled customer service. These talented, committed, and highly trained agents are skilled in providing your travelers with the benefit of their years of experience and expertise. Through ongoing training, our travel consultants are constantly updated in computerized reservations system operations. Our combined staff has over 100 years of travel experience and has traveled to over 120 countries. We are also proud to employ Certified Travel Counselors, who have achieved the highest training available in the industry.

Air Travel
Par Avion utilizes meeting discounts of up to 15%, and negotiated zone and group fares for groups of 10 or more travelers that may provide even greater savings.

Par Avion can receive air travel requests via a variety of means: phone (including 24-hour voice mail), fax, and e-mail. In most circumstances, an agent will contact the traveler or travel planner by phone, in order to discuss flight schedules and fare options in the most direct and efficient manner possible. Once the call is concluded, an itinerary is sent in written form via e-mail or fax for the traveler’s approval. This itinerary will contain refund and change fee information. Tickets are issued when the traveler approves the itinerary by written reply.

When direct contact with each individual traveler is not practical or possible, Par Avion utilizes a system of accuracy verification. A manager or assistant manager must double-check the accuracy of each reservation record, including the following data: name (spelling), address, phone number, travel dates and preferred times, departure city, arrival city, airline preference, frequent flier number, special meal requests, and preferred seating. Most upgrade requests are handled without any additional service fee. Tickets are checked for any unique coding to ensure proper credit to the account, including free staff/earned tickets, which become the property of the account.

We customarily mail e-ticket receipts and confirmations directly to the customer. Paper tickets are sent via a secure (trackable) method, such as Airborne or Fed Ex, at the customer’s expense.

We have handled groups of all sizes, from small board meetings to citywide conventions. Personnel are available for on-site staffing.
