Customer Service/Call Center:
Customer service begins with our in-house service and call center. Appropriately staffed with extended hours, convention participants can arrange their housing, registration and travel either on-line or with one phone call, or one fax to your convention’s toll-free, personalized telephone number, answered with your convention’s name. Additionally, during your convention’s program dates, you will have a staffed 24-hour customer service line for travel and reservation assistance.

Attrition Management:
Reducing risk and liability is a major part of Par Avion’s Housing program. With our automatic telemarketing campaigns and room block audits, Par Avion will substantially reduce your organizations exposure to attrition liability. Additionally, Par Avion has a standard hotel contract that protects our clients from costly attrition and other liability. Our housing system is powered by Passkey, the industry’s most advanced convention housing reservations system, allowing us to manipulate and steer reservations, thus minimizing liability. Also, we take a strategic approach to room block development by utilizing your group’s history and booking trends to ensure an accurate room block, which will reduce group’s exposure to attrition.

On-Site Assistance:
During your convention, our Par Avion staff will be on-site with our computer systems to assist with any travel plans, changes, or complications resulting from weather or any other circumstance where a change of plans is required. Additionally, we work with your hotels’ reservations management to conduct on-site audits to ensure appropriate credit is received for your attendees’ reservations. We will ensure all VIP reservations are confirmed, monitor no-shows and cancellations, monitor daily occupancy statistics, manage oversold hotels, and mitigate attrition liability.

Site Selection and Hotel Contracting:
Our experienced team can assist you in selecting the location for your next convention or meeting. Save time and money by allowing our experienced professionals to search for your location and initiate the contract process. Our standardized hotel-housing contract works on behalf of the convention organizer and affords more favorable terms in your convention’s hotel contracts. Par Avion is involved in programs in virtually every North American first and second tier city. We have clout and buying power with suppliers in all these cities, which equates to savings for the convention organizer and convention planner.

TECHNOLOGY
Par Avion’s Housing System is powered by Passkey. Passkey is the only group reservations management and distribution system that decreases cumbersome manual processes and increases efficiency and decreases liability by automating the group housing process. Passkey's Internet-based tools and solutions offers all parties involved in the group housing process total control over events and provides numerous benefits - including accessing and sharing real-time data, needing to use only one system from city to city, and reducing attrition exposure.

Par Avion’s phone system is designed for both “high tech” and “high
touch.” Employing a T-1 line for maximum reliability, it is designed to permit call center agents to make outgoing calls, and to have a live person answer incoming calls. This enables callers to speak to the same agent if desired. During times of high call volume, calls may roll over to the automated attendant, providing a list of options for the caller.

Par Avion agents are equipped with a variety of tools at their workstations (workstations are on a T-1 line for faster response). All agents have instant access to, and are proficient in, the industry’s two dominant CRS’s: Apollo’s state-of-the-art Focalpoint system, and Sabre’s Evoya Webtop portal. Agents utilize Apollo’s “Best Buy Quote” software, and the Sabre “Air Shopping” suite of fare management tools. With a single entry, more than 1,000 different travel options can be evaluated instantly. Agents receive up to nine lower fare options, including alternative airlines, times of day, and inventory that can be booked from that response. Both products automatically advise agents to change the class of service when necessary to offer a lower fare on the same itinerary.

Globalware is Par Avion’s back-office accounting system, which interfaces directly with its Focalpoint CRS. Globalware captures data provided when tickets and invoices are generated, and can produce a wide variety of both canned and customized corporate reports.
